How Influencity Handles Campaign Notifications: Automated Acceptance & Rejection Emails

When you accept or reject or invite creators in a casting call from your IRM, Influencity automatically sends the right email at the right time—so you can focus on selecting talent, not writing messages. Below is the full sequence and what each creator receives.


Invitation Email


Scenario:  You invite a creator to apply (from your IRM, lists, profiles, influencers, proposals, etc.)

Email Sent: “You’re Invited!”

Key Message: A branded email sent on your behalf, inviting the influencer to participate in your casting call. It includes a summary of the campaign and a direct link to apply.



As you can see, the email displays personalization tokens, such as their name, or your brand’s logo.


Note: Invited creators will still need to complete the application form in order to be considered for the campaign.


Automatic Eligibility Check

Scenario:  Invited or applied - but fails minimum requirements

Email Sent: “Doesn’t Fit This Campaign”

Key Message:  A warm note explaining the campaign criteria and thanking them for their interest. We never use harsh language—creators are encouraged to follow future opportunities.

You keep dashboards uncluttered by ineligible profiles.


2. Application Acknowledgment

Once a creator submits their application, they’ll see this message on the screen. This message allows them to acknowledge their application has been received.

Note: This stage buys you time to evaluate while maintaining professional communication.


Decision Emails

Acceptance Email


Scenario:  You have accepted the influencer profile and you want them on board!

Email Sent: “You’re In!”

Key Message: This email congratulates the creator, provides campaign contact details, timelines, and next steps. And finally, it confirms they are now In Campaign in your dashboard.

Rejection

Scenario:  You have decided not to move forward with the influencer for this campaign.

Email Sent: “Thank You for Applying”

Key Message: This email politely explains that, due to high volume, they were not selected this time. It encourages them to watch for future casting calls and reinforces appreciation of their effort and interest.



Important: Once an acceptance or rejection email goes out, the decision is final and cannot be undone—the system locks the status and triggers the email immediately.


One-Submission Rule

Creators can only submit once per campaign. If they click the link again:

  • They’ll see a notice that their application is already on file.

  • This prevents duplicate data and avoids confusion in your candidate counts.
